General Broadcasting | Event Broadcasting | Alternate Emails

Broadcasting a message is a powerful communication feature available to all users of EasyREG.  Broadcasting allows you the ability, as the administrator, to communicate with some or all of your registration database via email.  There are two types of broadcasting:

 

  • General Broadcasting from the the main registration home page.

  • Event Broadcasting from within a specific registration event.

  •  

Both types of broadcasting are available to the user from the same "Broadcast Message" link on their main or view registrations pages.  Note that with both versions the email address that you enter in the Email field will receive a copy of the email (for your records).

 

General Broadcasting

General message broadcasting is the ability to broadcast out to multiple events the same message.  This can be useful if you have an important announcement (cancellation of all classes due to bad weather, for example) that you need to get out to the entire registration database.  To use general broadcasting do the following:

  • Click on the "Broadcast Message" link on the main registration page.

  • You will be presented with a list of all the events that are in your database (both open and closed events).  Choose the events you want to broadcast the message to and then press the "Proceed to Create Message" button. 

  • You will notice that this form of broadcasting will automatically send to all registrants that are in the Pending, Approved, or Paid states.  Also note that no duplicate emails will be sent to the same email address.

  • On the next displayed page you will be presented at the top with a list of the events that you checked off on the previous page.

  • Fill out all the fields (Name, Email, Subject, & Message) for your message. Check over spelling and wording for accuracy and good grammar.

  • When ready to send, press the "Send Broadcast Email".  You will be displayed with a list of each event and the email addresses that emails are being sent to.  If a user entered a bad address (signified by no @ sign), the program will not attempt to send this email.

Event Broadcasting

Event message broadcasting is very similar to general broadcasting with one major exception.  In event specific broadcasting you send out a message to only one event and you can specify which states you wish to mail to.  This can be useful, if for example, you need to send an email out to all the approved people who have not yet paid their registration fee for the event.  To use event specific broadcasting do the following:

 

  • Click on the "Broadcast Message" link on the view registration page (off of the main page for most of you).

  • At the top of the page you will be presented with a list of all the available states to send to (Pending, Approved, Paid, Held) and the number of registrants within each state.  Check the state(s) that you wish to send your email to.

  • Now continue on and complete the From, Email, Subject, and Message fields.  Check over spelling and wording for accuracy and good grammar.

  • When ready to send, press the "Send Broadcast Email".  You will be displayed with a list of each state sent to along with the email addresses.  If a user entered a bad address (signified by no @ sign), the program will not attempt to send this email.

  • Note that in event broadcasting duplicate emails will be sent to like email addresses.

 

Alternate Email Addresses

If you have the need to send broadcast messages to two emails for the same registration this can be accomplished by creating an alternate email address field.  To do this create a Text Box form field and name the field "Alternate Email" or "Email2".  These fields can either be marked as a required or optional field.  Use these special fields to collect secondary email address that you can use to send duplicate broadcast messages (example for a husband and wife of one child).  Note that the field name Email2 is also recognized by the Upward ULM software and can be imported into their software.  When sending a broadcast select the "Send message to Alternate Email Addresses" checkbox choice prior to sending the email.

 

That's it!  It's a simple yet powerful way to communicate with your registrants in a timely fashion.
